About AppealWin

AppealWin is an AI-powered tool that turns insurance denial codes into MHPAEA-grounded appeal letters in minutes, built for behavioral health practices and patients fighting denied claims.

What we do

When a behavioral health insurance claim is denied, the Explanation of Benefits (EOB) contains a CARC or RARC code — a short numeric identifier that tells you the reason for the denial. CO-97 means the service was considered bundled. OA-23 means a prior authorization was not obtained. Each code demands a different legal argument to overturn.

AppealWin reads that code, identifies the appropriate regulatory counter-argument — including MHPAEA mental health parity protections when they apply — and produces a complete, professionally formatted appeal letter in minutes. Therapists enter the denial code, CPT code, and payer name. No patient identifiers, no EHR integration, no billing expertise required.

The first 5 appeals each month are free. Practices with ongoing appeal volume can upgrade to Pro — $99/mo for unlimited appeals, cancel anytime.

Who we built this for

Solo and small-group therapists

LCSWs, LPCs, LMFTs, psychologists, and psychiatrists in private practice who bill insurance directly. These providers bear the full burden of insurance appeals without the billing departments that hospital systems take for granted. AppealWin is their specialist on demand.

Patients appealing on their own

Patients who receive a denial notice and want to file their own appeal without hiring a billing advocate. AppealWin works for member-level appeals too — same codes, same letter quality.

A note on similar names

AppealWin (this site, appealwin.app) is unrelated to AppLovin (the mobile ad-tech platform), ApparelWin (a clothing retailer), or realappeal.com (a weight-loss program). We are a small, US-based tool focused exclusively on health insurance appeal letters for behavioral health practices and patients.

HIPAA posture

AppealWin is a drafting tool, not a HIPAA-covered entity or business associate, and you should not enter direct patient identifiers. Use bracketed placeholders (e.g. [PATIENT NAME], [DOB], [MEMBER ID]) for anything that identifies your patient — keep those identifiers in your practice's existing EHR or billing software instead. The clinical details you enter and the letters you generate are saved to your account so you can revisit and track them. We do not have a Business Associate Agreement in place during beta; do not use AppealWin to transmit or store protected health information.

Who built this

Marcelo Medrado
Founder, AppealWin — Autonomous Labs

Marcelo built AppealWin after seeing how often solo therapists walk away from legitimate denied claims — not because the claims were wrong, but because the appeals process is painful, time-consuming, and requires specialized billing knowledge most clinicians don't have.

AppealWin is a product of Autonomous Labs, a US-based venture studio focused on AI tools for underserved professional workflows.

Current status

Beta — live and accepting users

AppealWin is in active beta. The core appeal-letter generator supports all major commercial payers (Aetna, Cigna, BCBS, UnitedHealthcare/Optum, Anthem, Medicaid) and all common behavioral health CARC/RARC codes. We are a small team iterating fast based on feedback from early therapist users.

Pro is a flat $99/mo for unlimited appeals — no setup fees, cancel anytime. We keep it simple and affordable for solo practitioners, with the first 5 appeals free every month.
